At Beach Charters By The Bay, we strive to provide an exceptional private boating experience for every guest. Because each reservation exclusively reserves the vessel, captain, and departure time for your party, last-minute cancellations often cannot be rebooked. We appreciate your understanding of the following policies.

Reservation Deposit

A reservation deposit is required to secure your booking date and time.

Your deposit is applied toward the total cost of your charter and reserves the vessel exclusively for your party. Until a deposit is received, requested dates and times remain available for booking by other guests.

Cancellation Policy

Cancellations More Than 72 Hours Before Departure

Reservations canceled more than 72 hours prior to the scheduled departure time are eligible for a full refund of all payments made.

Cancellations Within 72 Hours

Reservations canceled within 72 hours of departure are non-refundable.

At our sole discretion, we may allow the reservation to be rescheduled based upon vessel availability.

If Beach Charters By The Bay is able to rebook the canceled charter for the same date and time, we may issue a refund, less any applicable credit card processing or booking platform fees.

Same-Day Cancellations

Reservations canceled on the day of the charter are considered non-refundable.

No-Shows

Guests who fail to arrive for their scheduled charter without prior communication will be considered a No-Show.

No-Shows are responsible for:

• 100% of the charter price
• Applicable taxes & Credit Card Fees
• A 20% gratuity will be applied

Guests arriving more than 30 minutes after the scheduled departure time without prior communication may also be considered a No-Show.

Charter time will not be extended due to late arrivals.

Holiday Reservations

Reservations made for major holidays and holiday weekends are in exceptionally high demand and often cannot be rebooked if canceled.

To protect these limited availability dates, all holiday bookings are non-refundable unless canceled at least 14 days prior to the scheduled departure date. This policy applies to, but is not limited to:

• New Year’s Eve & New Year’s Day
• Memorial Day Weekend
• Independence Day (July 4th)
• Labor Day Weekend
• Thanksgiving Weekend
• Christmas Eve & Christmas Day

Rescheduling holiday reservations is subject to availability and is not guaranteed.

Weather Policy

The safety of our guests is our highest priority.

Weather-related cancellations are determined solely by the Captain.

Conditions that may require cancellation include, but are not limited to:

• Lightning
• Severe thunderstorms
• Small Craft Advisories
• Gale Warnings
• Dangerous wind or sea conditions
• Dense fog
• Other conditions deemed unsafe by the Captain

The following do not qualify as weather cancellations:

• Forecasted rain
• Isolated showers
• Overcast skies
• Cooler temperatures
• Customer preference not to travel due to weather forecasts

If Beach Charters By The Bay cancels due to unsafe weather, guests may choose either:

• A full refund, or
• Rescheduling to a mutually available date.

Captain’s Authority

The Captain has full authority regarding the safe operation of the vessel.

Beach Charters By The Bay reserves the right to refuse boarding or terminate a charter without refund if any guest:

• Appears intoxicated prior to departure
• Uses illegal drugs
• Engages in unsafe or reckless behavior
• Harasses crew or other guests
• Refuses to follow safety instructions
• Violates U.S. Coast Guard or Florida boating regulations
• Creates an unsafe environment aboard the vessel

Safety decisions made by the Captain are final.

Mechanical Issues

Although our vessels are professionally maintained, unforeseen mechanical issues can occasionally occur.

If a mechanical issue prevents your charter from operating safely, Beach Charters By The Bay may:

• Provide a comparable replacement vessel (when available)
• Reschedule your charter
• Issue a full refund if the charter cannot reasonably be completed

If a mechanical issue develops after departure, any refund or credit will be determined based upon the portion of the charter completed.

Guest Delays & Personal Circumstances

The following situations are considered customer cancellations and are not eligible for refunds outside the cancellation policy:

• Traffic delays
• Missed flights
• Vehicle breakdowns
• Childcare issues
• Illness
• Changes in travel plans
• Scheduling conflicts
• Any other personal circumstances beyond the control of Beach Charters By The Bay

We strongly encourage guests traveling long distances to consider purchasing travel insurance.

Guest Arrival

Guests should arrive 15 minutes prior to their scheduled departure time.

Charters depart at the scheduled time whenever possible.

Late arrivals do not extend the scheduled charter duration.

Refund Processing

Approved refunds will be returned to the original payment method whenever possible.

Depending upon your financial institution, refunds may require 5–10 business days to appear.

Credit card processing fees or third-party booking platform fees may be deducted where applicable.

Agreement to Terms

By making a reservation with Beach Charters By The Bay, you acknowledge that you have read, understood, and agree to this Reservation, Cancellation & Refund Policy.
